This individual will be a member of the Human Capital and Business Operations (HCBO) team and will assist in the accounting operations of the office. General Accounting:
• Reviews and approves expense reports, and confirms expenses meet Commonwealth and agency policy guidelines
• Enters approved invoices, deposits, and journal entries within the financial system, supporting ledger, and tracking files, and maintains adequate supporting documentation of all entries
• Monitors account receivable activity and performs timely outreach for past due bills
• Reconciles agency financial activity to the Commonwealth’s financial system
Payroll and Benefits:
• Enters biweekly payroll transactions in the Commonwealth’s payroll system, reviews corresponding period reports to confirm accuracy, and creates payroll adjustments, as needed
• Works collaboratively with HCBO team members to ensure effective coordination and timely communication of personnel changes in the agency’s HR system that impact the accounting function (i.e. addition of new hires, compensation adjustments, terminations, etc.)
• Maintains and updates Commonwealth parking system to reflect changes to employee parking and vehicle information
Document Retention:
• Assists with maintaining all APA accounting records electronically, and ensures consistency in naming convention and classifications in accordance with Library of Virginia records management guidelines
HCBO Team Collaboration:
• Provides support, serves as a back-up, and cross-trains with the Senior Accountant
• Demonstrates excellent verbal and written communication and interpersonal skills
• Performs a thorough self-review of all completed work to ensure a consistent high degree of accuracy
• Proactively contributes to and participates in HCBO team projects and initiatives
• Independently manages workload and adheres to deadlines
• Contributes to a positive and professional workplace culture
• Associate Degree in Accounting, or related experience
• 20-25 hours per week
• Hybrid position with 3 days per week in-person collaboration
• $23 - $27 per hour
• Working knowledge of Windows and Microsoft Office software, including Word & Excel
• Valid driver’s license and ability to provide own transportation
• U.S. citizen or permanent resident and must pass a background check
